Travel to the congress is the hardest part of the event for many people. Provide as much help as possible, remembering that many players will neither speak nor read the local language nor will they understand the local transport conventions and systems.

Provide detailed information in advance

Consider how players may arrive at the congress. Some will fly into a major city and change to public transport. Some will come by train. Some will drive or even cycle.

Explain

  • visa requirements - what you must present on entry to the country, what forms must be filled in (Health declarations, Customs declarations, ...)
  • where airports/stations are
  • what buses/taxis to use
    • where you find them
    • where and how you buy tickets (on the bus? in a ticket office? in a shop?)
    • how much the tickets will cost - whether you need coins for automatic vending machines, whether a person will sell a ticket and be able to handle a large value currency note
  • where to get off
    • how to tell when you are there
    • how to get the bus to stop at the required destination
  • whether there is any difficulty with large suitcases / rucksacks
    • in Prague, large suitcases needed their own ticket on city transport system
  • where to go once on the congress site

Also if there are any hints or tips. An example (not applicable to an EGC) would be that, if flying into JFK New York then you need 1 dollar bills to hire airport trolleys before you reach a Bureau de Change.
